Employees and Company Credit Cards – What’s the Charge?

It's a common practice among business owners to provide their employees with company credit cards. In some cases it really makes sense - but caution should be used if this is a common practice in your business.

It is vital to for a business owner to review credit card statements and other bills for personal charges and collect the money from the staff member as soon as possible. If the employee cannot pay the monies back by cash or check right away, a receivable should be created for the employee until the charges can be deducted from their paycheck.

You Get What You Pay For – Do Cheap Bookkeepers Save Money?

There is a lot to learn about using QuickBooks and there is a LOT to learn about bookkeeping! Sure there are a lot of websites (including this one) where you learn how to do very specific tasks in QuickBooks and tons of YouTube videos - but tracking down the various pieces of the learning QuickBooks puzzle is horribly time-consuming and overwhelming; and the information that is found may not entirely meet the requirements of your company.

When you hire an inexperienced person and thrust them into full-fledged bookkeeping position; it’s very likely that you will end up with nothing but a huge mess on your hands and will need to have your books cleaned up by a professional.

What Are DB File Fragments and Why Do I Get Them in My QuickBooks File?

DB file fragment is basically a measurement of how much your company file changes. It reflects how much and how often QuickBooks messes with it. This is not something peculiar to QuickBooks files. With any file in Windows, as changes to the file happen on the hard drive, Windows sometimes keeps segments of data together, and sometimes Windows will assign segments of data somewhere else on the drive. That “somewhere else”, in QuickBooks, is a DB file fragment.

When you restore a portable copy, it basically plops your file’s data into as much contiguous hard drive as it can find. Then when you do stuff in QuickBooks, the data changes and expands as new records are added or even modified. So Windows pushes the file out into new sectors of the drive and creates a new 'file fragment'.

QuickBooks 2013 – Group Item Limit Increase

I’m a big fan of QuickBooks Group Items, I think that they are a HUGE productivity booster – but I’ve always had one gripe – they could only hold 20 items in previous versions of QuickBooks – which meant that you had to create more group items in order to accomplish what you set out to do. This has changed with the release of QuickBooks 2013. With the increased number of items that a group can hold, these item types will be even more powerful.

I often see users on the Intuit QuickBooks User forums asking how they can “memorize” an Estimate to use over and over again – why not create a group item that contains everything that you need to build your estimate?

NOTE: This increase will continue into future versions of QuickBooks from this point forward.

QuickBooks 2013 Revamped Employee Record

Big changes to the employee record, including convenient left navigation and the ability to actually see more items in the payroll info section - which means less mouse clicks and scrolling for you!

However, these changes also mean that you need to size QuickBooks differently on your monitor in order to be able to see everything. We'll show you side-by-side comparisons of each section of the employee record.

QuickBooks 2013 – Where Have the Colors Gone?

QuickBooks 2013 has an entirely new look and I have to admit there are many things about the product redesign that I really like, however, the biggest issue that I have with the redesign is the fact that Intuit has removed the ability to change the color scheme of the software.

Where oh where can my QuickBooks colors be, Intuit took them away from me…….ya, I know that sounds like a really bad rendition of an old song - but color is an important part of our daily lives and is said to influence our mood. What do you think of the new grey-on-grey look of the QuickBooks top icon bar?

Apparently Intuit is hearing all of the negative feedback on the lack of color and are proposing a change - if you would like to see what they are proposing (and I think it's pretty lame) take this survey at https://survey.intuit.com/survey/survey_page.cfm
